Policy on Abusive Behavior by Customers

EP-Link Co., Ltd. provides clinical trial and clinical research support services based on relationships of trust with all parties with whom it interacts, including medical institutions, pharmaceutical companies, clinical trial participants, and other stakeholders.
In fulfilling its social mission of supporting the development of new pharmaceuticals and medical technologies, EP-Link strives to build and maintain positive relationships founded on mutual understanding and trust, while respecting the dignity and individuality of every person.
At the same time, certain conduct directed toward EP-Link employees, such as abusive language, intimidation, degrading or humiliating remarks, defamation, or unreasonable and excessive demands, can undermine employees' working environment and interfere with the provision of appropriate services.
EP-Link values feedback and requests from all stakeholders and is committed to responding sincerely and in good faith. However, to protect the safety, dignity, and human rights of its employees, EP-Link will take a firm organizational approach against abusive behavior by customers.

Furthermore, should any EP-Link employee engage in similar inappropriate conduct toward any stakeholder, EP-Link will confirm the relevant facts and take appropriate action in accordance with its internal rules, policies, and other applicable regulations.

EP-Link's Definition of Abusive Behavior

Based on the concept of customer harassment described by Japan's Ministry of Health, Labour and Welfare, EP-Link defines abusive behavior as demands or conduct by customers that exceed socially acceptable norms and adversely affect the working environment of employees.

Examples include, but are not limited to, the following:

  • Physical assaults, violence, or other physical attacks
  • Threats, intimidation, coercive language, or coercive conduct
  • Insults, personal attacks, discriminatory remarks, defamation, or slander
  • Persistent, repeated, or unreasonable demands or complaints
  • Prolonged detention of employees or obstruction of business operations
  • Defamation, invasion of privacy, or unreasonable demands directed at individual employees
  • Posting defamatory content or disclosing personal information on social media or other online platforms
  • Demands for apologies or monetary compensation without legitimate grounds
  • Other seriously disruptive or harassing conduct that exceeds socially acceptable norms

Response to Abusive Behavior

When EP-Link determines, after considering the relevant facts and circumstances, that abusive behavior has occurred, EP-Link may take one or more of the following measures as appropriate:

  • Terminate meetings, telephone calls, email communications, or other interactions
  • Restrict, suspend, or modify the manner in which services are provided
  • Request that the abusive behavior cease and issue warnings as necessary
  • Seek advice from legal professionals, including attorneys
  • Report the matter to, or consult with, the police or other relevant authorities
  • Take any other measures deemed necessary and appropriate

Furthermore, should any EP-Link employee engage in similar inappropriate conduct toward any stakeholder, EP-Link will confirm the relevant facts and take appropriate action in accordance with its internal rules, policies, and other applicable regulations.
